Thank you for choosing Orlando Magical Rides LLC. Below are the Terms and Conditions that govern our car service. By using our services, you acknowledge and agree to these Terms & Conditions, and accept full responsibility for compliance. If you do not agree to these terms, you must not utilize our services. Please note that Orlando Magical Rides, LLC reserves the right to modify or update these terms at any time without notice.
**Please note that all vehicles are equipped with video monitoring systems for the safety and security of our guests and drivers.
General Terms Guests and booking agents are responsible for reviewing and confirming the accuracy of all reservation details before travel. Orlando Magical Rides, LLC is not liable if incorrect or missing information (such as flight details, dates, times, or contact information) causes a delay or missed pickup. ** If reservation information is incorrect, or if you fail to respond to the driver's calls or text messages and miss your scheduled ride, no refund will be provided.
Bookings and Reservations Reservations are approved for the current month and the following two months.
Guests must stay within the stated passenger and luggage limits for their reserved vehicle. All luggage that does not fit under the seat of the plane counts toward the limit, including strollers. **If you arrive with more luggage than your reserved vehicle can accommodate, you may be required to upgrade to a larger vehicle for your return trip. Any additional cost associated with the upgrade will be applied.
Gratuity Unless otherwise noted, gratuity for the drivers is not included. 18-20% is a customary gratuity.
Payment Due Date A $30 deposit is due at the time of booking. Your card will be charged final payment between 24-48 hours prior to service. For hourly or charter services a 50% deposit is due at the time of booking. Final payment is due 2 weeks prior to service. All transactions are secured, and credit card information is encrypted in our system.
Cancellation Policy:
We understand that plans can change. Cancellations must be made at least 2 days (48 hours) before the scheduled service to be eligible for a credit on account or refund.
Cancellations made up to and including 3 days (72 hours) prior to the scheduled service are eligible for either a refund or a credit toward future travel, minus a $10.00 processing fee.
Cancellations made 2 days (48 hours) prior to the scheduled service are eligible for a refund or a credit toward future travel, minus a $30.00 processing fee.
Cancellations or no show within 1 day (24 hours) prior to the scheduled service are not eligible for a refund.
Any credit on account issued is valid for up to one (1) year from the date of issue.
Hourly Service Policy All hourly services are billed in one-hour increments from the time the vehicle departs our garage until the time it returns to our garage.
Pricing Errors & Glitches Although effort is made to ensure accurate and current pricing on our website, rates stated online are approximations. Actual rates will be emailed by our office upon booking. For exact rates, contact our office directly by phone or email.
Stops: Stop charges vary based on location and distance. Please inquire for pricing details on stops. If a stop is cancelled the day of service it is not eligible for a refund.
Grocery Stops: All grocery stops must be for pickup of a pre-placed online order at the grocery store specified on your reservation confirmation. This requirement helps ensure the stop can be completed within 20 minutes. Stops exceeding 20 minutes will be subject to additional charges.
Rates Change: Rates and services may be altered at any time without prior notification.
Child Seats: Orlando Magical Rides, LLC can provide child seats (Infant, Toddler & Booster) upon request. See price list for the number included. **Additional fees apply for extra seats.
Child Safety Requirement: The driver will not begin transportation until all children are properly secured in the appropriate child safety seat as required by Florida law and manufacturer guidelines. As a courtesy the seats are installed in the vehicle for your convenience. Before the trip starts, the parent or guardian must check that the car seat is installed correctly and that the child is properly secured. The parent or guardian remains responsible for the child's safety seat fit and placement.
Domestic Flight Arrival Instructions: Upon landing, please turn your phone on and disable airplane mode. Reply to your driver's text message and notify them when you are proceeding to baggage claim. Once you have collected all of your luggage, notify your driver. The driver will then proceed to the terminal and typically arrive within 7–10 minutes. Your driver will meet you in the baggage claim area and assist with your luggage. Prompt communication with your driver is essential to ensure a smooth and timely pickup.
Should you require additional assistance, a Meet & Greet service is available. Your driver will meet you in the baggage claim area upon arrival and escort you to your luggage carousel. To arrange this service, please contact our office prior to your scheduled pickup. Additional fees apply.
Domestic Flight Wait Time Policy: If your driver arrives before all of your luggage has been collected, Orlando Magical Rides, LLC provides a complimentary wait time of up to 45 minutes for domestic flight arrivals. Wait time begins based on the flight's reported gate arrival time. Any wait time exceeding 45 minutes will be automatically billed at a rate of $15 per 30-minute increment. This policy includes delays related to lost, delayed, or unclaimed luggage.
Sprinter Vehicle Pickup Instructions: Due to height restrictions, Sprinter vehicles cannot enter the airport tunnel. Your driver will meet you inside the baggage claim area and assist with your luggage. The driver will then escort your party to a designated waiting area on the lower level, where you will remain while they retrieve the vehicle from a nearby pickup location. Because parking and loading areas for oversized vehicles are limited, this process helps ensure a safe and efficient pickup experience.
International Airport Pickup Instructions International guests must communicate with their driver using WhatsApp. Please download WhatsApp and ensure you are familiar with its use prior to your arrival. Prompt communication with your driver is essential to ensure a smooth and timely pickup experience.
Once you have collected all of your luggage and cleared customs, notify your driver via WhatsApp. Your driver will then proceed to the terminal and typically arrive within 7–10 minutes.
A $35.00 International Arrival Fee applies to all passengers arriving on international flights and clearing customs in Orlando. This fee is assessed in addition to the transportation rate and covers the additional time and coordination required for international flight arrivals.
Inclement Weather Pickup Procedures In the event of inclement weather in the airport vicinity, the VIP tunnel may be closed. If this occurs, your driver will provide alternative pickup instructions.
Guests should take the elevator to Level 1 and proceed to the Ground Transportation Area, where buses and shuttle vehicles are located. Once outside on Level 1, text your driver the number displayed on the pickup space nearest to you. Your driver will then proceed to that location to pick you up.
Prompt communication and following your driver's instructions will help ensure a safe and efficient pickup during weather-related disruptions.
Late Night / Early Morning Fee For all reservations scheduled between 10:00 PM and 7:00 AM, an additional $25.00 fee will apply. This fee is automatically added to reservations when flights are delayed and result in arrival after 10:00 PM.
Non Airport Pick Up: You are very important to us! Your ride is scheduled amongst dozens of other reservations. It is very important we can remain on time to ensure everyone has the best experience possible. Any delay incurred can impact the entire days operation.
We kindly ask that your entire party, along with your luggage is ready to depart the resort at your scheduled time. For non-airport locations, we will allow a five minute grace period, however anything outside of that may impact the remainder of our clients and we may not be able to accommodate you. After 5 minutes we reserve the right to send our drivers to their next appointment and your fare will be forfeited.
Please be advised if the driver can accommodate you, additional wait time will automatically be billed at $30 in 30 minute increments. If the entire party is not in the vehicle and ready to depart after 30 past your scheduled pick up time your ride will be cancelled and the fare forfeited. We strive to deliver the best experience possible to all of our guests.
Damage and Cleaning Policy Guests are responsible for any damage caused to the vehicle by members of their party. If the vehicle is damaged during the trip, the guest agrees to cover all costs required to restore the vehicle to proper working condition.
In the event the vehicle requires cleaning due to sickness or a bathroom-related incident, a minimum $50.00 cleaning fee will apply. This includes any associated costs and compensation for lost revenue while the vehicle is out of service.
Stroller Rental Policy Stroller rentals include a rain cover and parent console, both of which must be returned at the end of the rental period. Any missing items will incur a $35.00 restocking fee.
Any damage requiring repair or deep cleaning will result in a minimum $50.00 fee.
Guests are responsible for the replacement cost of any lost or stolen strollers. **Optional insurance is available upon request.
Luggage and Service Disclaimer
Luggage: Orlando Magical Rides, LLC is not responsible for any damage to luggage or its contents.
Service Error: In the event of a vehicle breakdown or service disruption, Orlando Magical Rides, LLC will make every reasonable effort to provide a replacement vehicle, which may be supplied by a third-party affiliate and will be comparable to the original reservation. Orlando Magical Rides, LLC is not liable for missed reservations, appointments, or other delays resulting from service errors or breakdowns.
Dispute: For corporate clients, all invoice charges are deemed accurate and due upon receipt unless disputed within 7 days of the invoice date, with supporting documentation emailed to us promptly. Disputes raised after this period will be non-refundable. For personal accounts, objections to credit card charges must also be submitted in writing within 7 days from the charge date. Disputes initiated after this period will be considered final and non-refundable.
